Group Purchase Opportunity for Kent Schools & MATs
We’re offering a group purchase arrangement to bring schools in Kent together to purchase their energy.
The benefit of joining a purchasing group is that you can leverage economies of scale to achieve better prices for your energy, because suppliers price your energy based on the collective consumption of the group.
Whilst energy prices remain low in the longer term, we propose securing a 3-year fixed contract following competitive tendering, to help aid you with budgetary certainty using our compliant framework (comprising 11 energy suppliers). We will provide a full energy management service that provides a dedicated account manager to support you; we check and validate all your invoices ahead of payment; manage and resolve all queries with suppliers; and support you with budget and consumption tracking through our online portal.
If you would like to express an interest in our group purchase scheme please email Chris@zenergi.co.uk by close of business February 10 2021.
Frequently Asked Questions
What is a Group purchase?
Zenergi groups similar organisations together to help achieve a reduced price and greater bargaining power, to take effect from 1 October 2021 (we understand this is your next exit date if you are currently with LASER). We shall combine the consumption volume of your school with other schools, therefore allowing Zenergi to tender your supplies into a fixed contract with the same supplier per commodity.
Can I be part of the group but also have choice over my supplier and approve the prices?
Unfortunately not. In order to benefit from Zenergi’s group purchase arrangement you would need to delegate authority to Zenergi to undertake negotiations and, due to the speed of change in the commodity markets, Zenergi would be unable to enter into discussions with individual customers as this delay could impact on prices for participants.
In the group purchase, how do I set an acceptable tolerance for my authorisation?
Within your authorisation you can stipulate the level of increase/ decrease that you find acceptable, however if following the tender we find this is unachievable, we will contact you to discuss your options. However, ultimately, we will be unable to proceed without further authorisation from you.
What happens if my school isn’t offered the best deal by the lowest overall tenderer?
This does happen sometimes, generally on half-hourly electricity and gas supplies. In this situation we “cherry-pick” suppliers if a specific supply is unable to attract a beneficial price with the overall cheapest tenderer so that every participant gets the best of what’s on offer from the market.
What other option is there besides group procurement?
We would be pleased to offer a consultation process and build a procurement strategy with you specifically if you would prefer. That allows you choice over your supplier and contract length, and you would authorise Zenergi to secure your preferred contract.
How is the budget calculated?
We consider all known charges and multiply up to generate an estimated annual spend which is fair. We do not include VAT or Climate Change Levy (CCL) into these calculations, as these are supplementary charges that are directly controlled by government, and therefore subject to change at any time.
Is the procurement process compliant?
Yes, we run the Institute of School Business Leaders’ (ISBL) energy procurement framework, which is a 4-year framework running until April 2024, allowing you to procure energy compliantly. We would provide a breakdown of the three best value bids for your audit reference.
When will you confirm the details of my future prices?
We will be in touch as soon as practically possible, usually within two weeks of securing the contracts, providing you with full summary of prices received, a comparison to your existing contract and providing you with any necessary forms for completion such as Direct Debit or VAT declaration forms (dependant on your requirements).
Which suppliers will you tender to?
We obtain prices from EDF; Eon; SSE; Total Gas & Power; British Gas; Brook Green; Crown Gas & Power; Gazprom; Npower; OPUS; Smartest; and Corona. There is no favouritism over suppliers, however, we will assess the ability to deliver the contract successfully into the best-value assessment.
What value-added services does Zenergi provide?
You can rest easy that each time an invoice is received, it is being validated by industry experts to avoid any expensive over, or under charges; that the consumption is what it should be; and your spend is on track with your forecasted consumption.
All invoices are received into Zenergi’s offices and these are then entered into the system to provide such data. We will even chase when an invoice is expected and not received, providing accurate forecasts if issues arise.
This means that in terms of customer service:
You will be assigned your very own customer Relationship Manager (RM) by Zenergi and this person will initially lead you through the changeover process. Once the contract starts they will be your dedicated point of contact and will deal with ALL energy related queries, billing or otherwise, that may arise so you do not have to waste time talking to suppliers or other consortia that you may have used previously. In essence, your Zenergi RM will become another member of your finance team!
